Using variable sets in SPSS® 16.0

This is a complimentary tip available to SPSS Direct subscribers.

Question

Many large datasets contain more variables than I’m used to working with at one time. How can I make it easier to work with these files—without splitting the data apart into several files?

Answer

You can use a new feature in SPSS 16.0 called “variable sets.” Variable sets are easy to configure and use, and they give you a streamlined experience throughout the SPSS interface.

The example below shows how you can use variable sets on a simple dataset with four variables:

Figure 1: Here’s a sample data set with four variables.

To create a variable set, go to Utilities -> Define Variable Sets:

Figure 2: This is the first step in creating your variable set.

After the dialog box appears, fill in the name of the new set (in the area highlighted in green), assign the variables you want in the set (in the area highlighted in red; this image shows two variables already selected), and then press the “Add Set” button (in the area highlighted in blue) to create the set.

Figure 3: Define a new variable set with variables “a” and “c” only.

You may close the dialog box at this point, but you won’t notice any change in the display until you apply the variable set. To do that, go to Utilities -> Use Variable Sets:

Figure 4: Apply your variable set.

You can specify the set (or sets) you wish to use by selecting the appropriate names (in the green area). When you’re finished, click “Ok” (in the red area).

Figure 5: You’ve chosen to use “Example Set.”

Next, you’ll see your dataset with the specific variables you selected:

Figure 6: This data view only includes the variables you selected.

After you’ve chosen your variable set, you will see only these variables in all future dialog box windows. When building a chart, creating tables, doing data transformations, or anything else, you will only be shown the variables you have selected.
